Role Overview:
We are seeking a proactive, service-oriented IT Operations Specialist to provide day-to-day technical support while helping manage the operational side of our IT environment. This role will serve as a primary point of contact for employee technology needs, including troubleshooting hardware and software issues, managing Apple laptops and other IT equipment, administering software subscriptions and licenses, and coordinating software and vendor contract renewals. The ideal candidate is technically capable, highly organized, comfortable working directly with employees and vendors, and able to keep track of the many operational details required to keep a modern workplace running smoothly.
Success in this position means employees receive responsive and effective IT support, company devices and software are well managed, access is provisioned and removed appropriately, and IT contracts and subscriptions do not renew unexpectedly. Over time, this role should also help the organization develop better visibility into its technology assets and spending, reduce unnecessary software costs, improve IT documentation and processes, and provide employees with a reliable and secure technology experience.
What you will do:
General IT Operations
- Administer common workplace technology platforms and SaaS applications.
- Assist with identity and access management, including user accounts, permissions, groups, and application access.
- Support office networking, conference-room technology, printers, peripherals, and other workplace technology.
- Assist with implementation and administration of endpoint management, security, and device-management solutions.
- Help maintain IT policies, procedures, asset records, and operational documentation.
- Participate in security and compliance activities related to employee devices, access controls, and software applications.
- Identify opportunities to automate or improve repetitive IT processes.
- Assist with IT projects and other technology initiatives as needed.
Software Subscriptions & License Management
- Maintain an accurate inventory of company software applications, SaaS subscriptions, licenses, administrators, owners, and associated costs.
- Provision and deprovision software licenses as employees join, leave, or change roles.
- Monitor license utilization and identify unused, duplicate, or unnecessary subscriptions.
- Work with business owners to understand software requirements and right-size license counts.
- Maintain documentation for administrative accounts, billing contacts, renewal dates, and application ownership.
Vendor Contracts & Renewals
- Maintain a centralized calendar and inventory of software and IT vendor contracts and renewal dates.
- Proactively identify upcoming renewals and begin the review process well in advance of renewal deadlines.
- Coordinate with internal stakeholders to determine whether contracts should be renewed, modified, consolidated, or terminated.
- Communicate with vendors regarding quotes, licensing changes, renewal terms, and account administration.
- Support contract and pricing negotiations in partnership with Finance, Legal, Security, and business stakeholders as appropriate.
- Track software and IT spending and help identify opportunities for cost savings and vendor consolidation.
- Ensure renewal documentation, purchase orders, invoices, and related records are maintained appropriately.
Laptop & IT Asset Management
- Procure, configure, deploy, maintain, and retire company laptops and other IT equipment.
- Manage and maintain secure custody of a limited inventory of Company-owned laptops and related IT equipment at an approved location, including proper storage, accurate asset tracking, provisioning, shipping and receiving, and periodic inventory reconciliation in accordance with Company security and equipment-management policies.
- Maintain an accurate inventory of laptops, peripherals, and other company-owned technology assets.
- Track equipment assignments, warranties, lifecycle status, and replacement schedules.
- Coordinate laptop repairs, replacements, returns, and secure disposal and manage documentation.
- Maintain standardized laptop configurations and assist with device management and endpoint security tools.
- Ensure company devices are appropriately patched, encrypted, secured, and compliant with company policies.
Helpdesk & Employee Support
- Provide Tier 1 and Tier 2 technical support for employees across hardware, software, operating systems, networking, and common workplace applications.
- Troubleshoot and resolve employee issues through remote and in-person support.
- Manage incoming IT requests and ensure issues are documented, prioritized, and resolved in a timely manner.
- Support employee onboarding, including account setup, laptop provisioning, application access, and equipment distribution.
- Support employee offboarding by disabling or coordinating account access, collecting equipment, and ensuring company assets are returned.
- Create and maintain internal IT documentation, troubleshooting guides, and employee self-service resources.
- Escalate complex technical or security issues to the appropriate internal team or external vendor.
What you will bring:
- 2+ years of experience in IT helpdesk, desktop support, IT operations, systems administration, or a similar role.
- Strong troubleshooting skills across laptops, operating systems, SaaS applications, and common workplace technology.
- Experience provisioning and managing macOS devices.
- Familiarity with identity and access management and common business productivity platforms.
- Experience managing software licenses, SaaS applications, or technology vendors is strongly preferred.
- Strong organizational skills with the ability to manage multiple requests, deadlines, contracts, and renewal dates simultaneously.
- Strong written and verbal communication skills; excellent collaboration skills.
- Comfortable communicating with employees at all levels of the organization as well as external vendors.
- Ability to handle confidential information and administrative access responsibly.
- Ability to access and manage inventory of Company-owned laptops and related IT equipment in a company-designated secure location.
- Strong attention to detail and a customer-service, problem-solving mindset.
Bonus qualifications:
- Experience with Okta and Kandji/Iru, including SSO, MFA, identity and access management, user lifecycle management, and endpoint/mobile device management (MDM).
- Experience administering SaaS environments such as Google Workspace or Microsoft 365, including application access and license management.
- Familiarity with IT asset management and helpdesk/ticketing systems.
- Experience with vendor management, software procurement, contract renewals, and license optimization.
- Familiarity with security and compliance frameworks and IT controls.
- Experience using automation or scripting to streamline IT processes and improve operational efficiency.
Compensation:
HouseCanary offers competitive compensation and a comprehensive benefits package. The salary for this position ranges between $75k-$95k.
